The information we collect

When you get in touch with us through our website, by phone, or by email, we may collect the following information:

Your name, phone number, and email address. The type of project you are enquiring about, along with a brief description of what you have in mind. The location or address of the property concerned. Any other information you choose to share with us as part of your enquiry or during a project.

When you use our website, we may also collect technical information such as your IP address, browser type, pages visited, and the date and time of your visit. This is collected through cookies and similar technologies, which are covered further down.

How we collect your information

We collect information directly from you when you fill in our enquiry form, call us, send us an email, meet with us, or otherwise communicate with us about a project. We also collect information automatically when you use our website, as described in the cookies section below.

In some cases we may receive your details from an architect, designer, or other professional partner who is referring a project to us. Where that happens, we assume they have your permission to share your contact details with us for that purpose.

How we use your information and why

Under UK data protection law, we need a lawful basis for using your personal information. The bases we rely on are set out below.

We use your information to respond to your enquiry, prepare quotations, and discuss your project with you. The lawful basis for this is that it is necessary to take steps at your request before entering into a contract, or our legitimate interest in responding to enquiries from potential clients.

If you go ahead with a project, we use your information to deliver the work, manage the contract, communicate with you throughout the build, coordinate with any architects or other professionals involved, and carry out our follow-up reviews at twelve and twenty-four weeks post-handover. The lawful basis is the performance of our contract with you.

We use your information to meet our legal and regulatory obligations, for example in relation to building control, health and safety, tax, and accounting. The lawful basis is compliance with a legal obligation.

We may use your information to maintain our records, manage our business, and improve the services we offer. The lawful basis is our legitimate interest in running the business properly.

We do not send marketing emails or newsletters. If that changes in future, we will only do so with your consent and you will always be able to unsubscribe.

Who we share your information with

We keep your information confidential and share it only where necessary. The people and organisations we may share it with include:

Members of our team, including your dedicated project administrator and site manager. Subcontractors and trades working on your project, where they need the information to carry out their work. Architects, designers, or other professionals involved in your project, where you have asked us to liaise with them. Building control bodies, warranty providers, and certification bodies as required to complete your project. Our professional advisers, including accountants, solicitors, and insurers. Regulatory bodies or authorities where we are required to share information by law. IT service providers who support our systems and communications.

We do not sell your information to anyone, and we do not share it for marketing purposes.

How long we keep your information

We keep your information only for as long as we need it. Enquiries that do not lead to a project are generally kept for up to two years, after which they are deleted. Information relating to completed projects is kept for a longer period to meet our legal, contractual, insurance, and tax obligations, typically a minimum of twelve years after the project ends to cover the limitation period for construction contracts under the Limitation Act 1980.

Keeping your information secure

We take reasonable steps to protect your information from loss, misuse, and unauthorised access. Access to personal information within our team is limited to those who need it to do their job, and we use appropriate technical and organisational safeguards for the systems we rely on.

Where we use third party providers to store or process information on our behalf, we put agreements in place that require them to handle your information securely and only for the purposes we have agreed.

Transfers outside the United Kingdom

Most of your information stays within the UK. In some cases, information may be processed outside the UK by our service providers (for example, if we use cloud-based email or storage services). Where this happens, we ensure appropriate safeguards are in place so that your information continues to be protected to UK standards, for example through the use of approved contract terms or adequacy decisions.
